GUIDELINES FOR SPEAKERS
Thank you for holding a presentation at the PIDfest 2024 conference!
Consent to publish PIDfest’s outputs
PIDfest local co-organizer, the National Library of Technology (NTK) will be publishing all the outputs from the conference in its Institutional Digital Repository. The library will need consent from all the PIDfest speakers to do so.
You will be contacted by NTK from repozitar@techlib.cz and asked to provide the consent.
With your consent, you will be asked to select a license under which you would like to have your work published. Selection of the license is up to you, however the PIDfest organizers highly recommend selecting CC BY 4.0 International. You will need to indicate the selected license in your presentation deck or poster.
Please grant your consent and submit your presentation by May 31st at the latest.
Presentation deck
Finalize your decks by May 31st and send them to repozitar@techlib.cz in PDF format.
We will then upload your decks and posters to your sessions in the PIDfest program.
Presentation decks need to be in 16:9 size for a widescreen converted to PDF for submission. (how to export a PPT as PDF)
Please use a large font to ensure your deck is legible to your audience no matter the size of the presentation hall.
Use this template to create your presentation. If you want to use a different template, please add to it the first title slide from the provided template. If you have issues with the formatting, you can paste it on the first slide as an image.
It is necessary that your presentation clearly states your chosen license (CC BY 4.0 International recommended) on the cover slide (and the rest of the presentation as needed). If you want to use a different license, please insert a corresponding image on the first slide and URL corresponding with the selected license into the image).
If you want to play videos/do demos/share screens during your presentation, you need to let the organizers know in advance when sending your slides to repozitar@techlib.cz You will need to use the provided computer.
Please note that given the high number of speakers and presentations (over 120!), we won’t be able to accommodate presentations provided onsite at PIDfest, we need to receive them in advance to be able to ensure a seamless experience for everyone. Thank you for your understanding.
Posters
Posters will be presented in A1 size (59.4 x 84.1 cm or 23-3/8 x 33-1/8 in) in portrait format.
Make sure your poster includes the appropriate license (we recommend CC BY).
Send your poster as a PDF to repozitar@techlib.cz by May 31st.
Make sure the PDF file has the print marks.
If you haven’t printed your poster already, we can print the poster for you onsite. Just please make sure you indicate that when you send the artwork to us and send it on time.
Sessions - Individual or Combined
Please make sure that your presentation or poster aligns with the accepted proposal with regards to its title and abstract.
If you need to make any changes to the title or abstract in PIDfest’s program, please send a request to repozitar@techlib.cz by May 31st.
If you are participating in a combined session, please agree on the actual format of your session with your fellow speakers and request corresponding edits in the program by May 27th.
Don’t hesitate to reach out to your session’s shepherd for more guidance.
Venue
PIDfest’s venue the National Library of Technology, Technická 6, Prague 6.
PIDfest is taking place in 5 different spaces within the National Library of Technology. Please make sure you know in which room your presentation will take place.
Be ready in the corresponding space at least five minutes in advance before the start of your session (not the start of your presentation).
Upon arrival to your room, check in with the session coordinator and/or the A/V personnel.
Presentation
Each room will be equipped with a PC with your presentation ready.
Be considerate of other speakers and the audience by staying within your allotted time (check the PIDfest program or with your session’s shepherds if needed).
The presentations (excluding interactive workshops and unconference) will be streamed and recorded.
Questions from the audience can be raised either in person (using a microphone if available in the room) and / or via the Zoom Q&A.
Other
PIDfest’s dress code is business casual. We want to honor the tradition of PIDapalooza and be festive so we welcome all to wear something colorful!The more colors, the better.

Speakers may not promote any commercial product or service within the presentation and/or through distribution of written promotional materials.
Speakers, as all attendees, must be wearing their badge at all times during all PIDfest activities. Otherwise, they won't be able to enter the rooms, access catering and additional program.
